Staff Workflow

Once patients are scheduled for their three weekly PEP sessions then:

  • 1 week before the first session, support staff sends the patient the PEP23PREP message
  • 1 day before the first session, support staff sends the patient PEP23REM1
  • 1 day before the second session, support staff sends the patient PEP23REM2
  • 1 day before the third session, support staff sends the patient PEP23REM3
  • During each visit practitioners use smart phrases to:
    • Administer PEP
    • Provide after visit patient instructions which should also be sent as a separate patient message a few days later. Use the “homework” smart phase (see the smart phrase index linked below)
    • Copy and paste the “homework” smart phrase into a patient message and date to send in 2 days
    • Document the visit using the “CV doc” smart phrase
  • Within 1 week after the third PEP session, support staff needs to reach out to the patient to administer a PHQ 9, document in the chart, and forward the results to the PCP.
