Vacation Policy

General Guidelines

  • Vacations start on a Monday and end on a Sunday.
  • NO changing or exchanging vacations unless approved by Admin chiefs (Jim and Amy) and the residency office must be in the loop (Anita)
  • You MUST Cc Anita on all emails sent regarding changes to vacation or call schedule. The residency office needs to record of ALL changes so we can update our rotation and call schedules for billing purposes. We need to bill per resident, per day, per institution. It’s important we are accurate.
  • We try giving everyone a few days off over the XMas/NY holiday so vacation requests for that time period are usually denied. Holiday schedule is assigned and not everyone will receive the actual holiday off but may have days before or after off. No requests allowed.
  • Plan on being on-call the weekend before your vacation starts. So don’t buy plane tickets for the weekend before unless you know for sure you are off.
  • In general, no 2 residents on the same service can be on vacation at the same time.
  • Preference for specific vacation dates will be assigned by hierarchy (PGY 2-5). Intern N/A since vacations assigned.
  • No vacations will be scheduled during the last 2 weeks of June or the first 2 weeks of July with exception of chiefs.
 
Interns (PGY-1)
  • Vacations assigned by Admin Chiefs. You can email specific weekend requests to Admin Chiefs and Anita but not guaranteed you’ll receive your request.
  • 3 weeks of vacation total (can be 3-one week vacations or 1-two week and 1-one week)
  • No more than 2 weeks at a time
  • All Neurosurgery interns will take vacation while rotating on Neurosurgery/neurology rotations
  • Plastics- no vacation while rotating on Plastics
  • Ortho- no vacation while rotating on ortho
 
PGY-2s
  • Admin chiefs are in charge of authorizing all vacations. Please send requests to Admin chiefs for review and copy Anita
  • Vacation rotation
    • We will have a “vacation rotation” as part of our rotation schedule which means someone will be assigned as a vacation coverage intern/resident during this rotation to cover whoever is out on vacation. Not all vacations will be covered by the “vacation rotation”.
  • Minimal flexibility
  • 3 weeks of vacation total (can be 3-one week vacations or 1-two week and 1-one week)
  • No more than 2 weeks at a time
 
PGY-3s
  • Email dates to Admin Chiefs and Anita
  • 3 weeks total
  • 1 week per quarter (up to 3)
  • No vacations on ICU rotation
  • No more than one week per service
PGY-4's
  • Email dates to Admin Chiefs and Anita
  • 3 weeks total
  • Interviewing comes out of vacation
  • Leave 7-10 days of vacation open for Feb/March/April for interviews
  • 1 week should be scheduled in July-December
  • One week per quarter (up to 3)
  • Total 3 weeks
  • No vacation on trauma/ACS rotation
  • No vacation on endoscopy
  • No more than one week per service
 
PGY-5s
  • PLEASE NOTE: if you’re planning to take the last 2 weeks off you must use 1 week of your vacation and the other week will be considered Education Leave.
  • No vacation Feb/March/April
  • No more than 1 week on a given rotation
  • 1 week should be scheduled in July-December
  • One week per quarter (up to 3)
  • 3 weeks total including one of last weeks of residency if you prefer to take it off.
  • 1 week of CME- the annual ACS dates will be taken from your CME week.
  • Off last week of June (24-30) as Educational Leave
