Since this group are not vaccinated and if they are not required to test negative within 72 hours before the research is conducted then the PI requires to get the approval from the local dept chair, division chief or DFA for the most updated SOP.

To ensure travel reimbursement for domestic and international trips, Stanford travelers must upload proof of COVID vaccination prior to departure.
Faculty, staff and postdocs should upload vaccination status to Health Check.
Graduate students should upload vaccination status to the VadenPatient portal and submit their vaccination details into Health Check.
Fully vaccinated travelers will no longer need prior approval for domestic or international travel, subject to these restrictions:

Field research that involves clinical or non-clinical human subjects requires prior approval until further notice. For domestic travel requests please get approval from the Clinical Human Subjects Committee here.
Vaccinated and unvaccinated travelers should follow CDC, state, county, airline and country-specific guidance on testing prior to and following travel.
Currently, the CDC recommends that vaccinated and unvaccinated travelers test 3-5 days after completing international travel. We recommend the same for those returning from international travel.
At all Stanford Health Care facilities, face covering, physical distancing and COVID-9 screening continue to be required even for individuals who have been fully vaccinated. It is also recommended to wear mask at clinics and CTRU when facing patients.
It is recommended for unvaccinated staff to test weekly until they are vaccinated and to continue to complete the Health Check before coming onsite.
While regular testing will not be required for vaccinated faculty, staff and postdoctoral scholars who have provided proof of vaccination, voluntary surveillance testing will remain available to any employee or postdoc who wishes to access it.

Send the letter of invitation to the SOM Dean of Research Office firstname.lastname@example.org for approval. Attach the invitation and in the body of the email, include the name of the student, PI and the appointment dates. You will receive a follow up email with the status of your request.
If approved, create a PDF of your approval email and include it with your application submission to the University Registrar’s Office.
