Federal and state laws require non-exempt employees to keep an accurate daily record of hours actually worked, including actual start and stop times and meal breaks. Axess Timecard, in the human resources management system (HRMS) is the system of record to indicate hours worked, including overtime hours and vacation, sick, holiday and other leave time taken by each non-exempt employee. Axess Timecard, in the human resources management system (HRMS), is the system of record to indicate vacation, sick and other leave time taken by each regular exempt employee.

The overall goal of the Winter Closure is to provide an opportunity for a meaningful break from work. All areas are encouraged to close.
In areas that are required to stay open (eg; animal facilities and clinical areas) The DFA or Department Director reviews operational need for an employee to work and approves only those requests that are critical to department operations in consult with SoM Employee Relations.
Employees in operational areas that observe the closure will receive holiday pay for the holidays that fall during the close and may use available PTO, floating holiday, accrued vacation, unpaid time off, or any combination of these, on the remaining closure days.
Local HR will provide specific detail and process for your department or unit in the fall.
To qualify for retirement benefits, you must be a benefits-eligible employee in good standing and have not been terminated for misconduct. In addition, you must meet one of the following requirements:
If hired before January 1, 1992:
You are at least age 55; and
You have at least 10 years of benefits eligible service;
OR
Rule of 75 (for anyone):
Your age + years of benefits-eligible service equals at least 75, and
You complete at least 10 years of benefits-eligible service
To establish if you meet eligibility rules to be an official retiree and possible benefits complete the Eligibility for Retiree Status form .

Admin Guide 2.1.5 provides policy for meal periods for non-exempt employees. This includes a minimum of 30 minutes of duty-free time after no more than 5 hours of work.
Exempt employees are not required to enter hours worked or meal periods.

The Stanford Manager Academy is not School of Medicine specific and enrollment is through nomination by human resources groups across the 8 schools. Eligibility for staff members includes managing at least one full-time benefits-eligible employee and being in your current managerial role for at least six months.

The review and approval of employee time and leave is required by university policy and is an important step in ensuring that employees are paid correctly. Summarized timecard details and employee filters are available in Axess Timecard to assist with the review of timecards for large groups of employees.
To begin a discussion on how to recalssify an employee, talk with your HR Rep.
The Stanford University Board of Trustees resolution provides that the President of the University is authorized to approve emeritus or emerita titles for retiring members of the Academic Staff as defined in Admin Guide Memo 2. 2.1 and Senior-Level staff as defined in Admin Guide Memo 2.1.14, who shall have served twenty (20) or more years previous to normal retirement date. The President of the University is also authorized in exceptional cases to approve an emeritus or emerita title for Academic Staff and Senior-Level staff with less than 20 years of service and for other staff employees with unusually long service, of twenty-five (25) years or more. When planning your retirement, please have your immediate manager contact your local HR group to establish eligibility and complete requisite paperwork, should you meet the criteria.
Employee occupational injuries or illnesses need to be reported within 24 hours of the event. Reach out to your HR Manager and/or to the Environmental Health and Safety office to report and complete necessary forms. Employee is also responsible for completing forms if they want to file a claim. In cases of emergency, call 911.
Contact your HRM before approving any staff to move outside of the Bay Area. Staff should also speak to their local HRM prior to making the move.
