The help form on our website initiates a request to set up a consultation. These requests are assigned within 1 business day and you will hear back from a member of our team with scheduling options within 1-2 business days. This consultation will be a chance to discuss your idea, project goals, timeline, and budget. The team will then evaluate each consultation to see if these factors make it an appropriate fit for collaboration or perhaps refer you to resources that better suit the needs of your project.
After a project request receives a high prioritization score, our team will engage with you and your team in a series of pre-production meetings to turn your proposal into a comprehensive project plan.
Our Instructional Designers will examine your subject matter, proposed audience, and desired learning outcomes and then provide recommendations on how best to structure and deliver your project.
Our Creative Director will collaborate with you to develop engaging media that will keep your audience engaged while also reinforcing your project’s central ideas and concepts.
Our Project Manager will work with you and the EdTech team to make sure the creative ambition of your project stays within your desired budget and timelines.
Following your pre-production meetings with the EdTech team, we will provide a preliminary budget estimate for your project and a good faith estimate on when our team could begin production work. Once you provide feedback and approval to those estimates, EdTech will produce a Course Production Agreement and schedule a project start date.
Some of our work is funded by operating budget for our core clients in the medical school required curriculum. But we are always interested in partnerships with other groups on exciting projects that match our department's strategic objectives. We are able to pursue these partnerships through our cost recovery process.
Once our team has established agreement with you on a set of deliverables, an initial project cost estimate and a timeline, your project will be placed into our cost-recovery workflow. In order to green light your project we'll need your PTA or SHC cost center and financial approver information. Once that information is on file, work can begin. You will receive an invoice from us on the 5th of each month detailing hours worked on tasks, like the example below. Our financial analyst will arrange for cost allocation journal entries per the monthly invoices.
Our costs/task/hour are calculated based on the average time spent per task, multiplied by the average pay rate of the staff members typically assigned to that task type. These rates are updated every fiscal year based on the previous years' data.
EdTech’s production team is a diverse and talented group. We have creative professionals in animation, illustration, sound design, graphic design, 3D rendering, video production and interactive design on staff. After a project has been through key pre-production steps of writing learning objectives, instructional design guidelines and scripts it is passed to the production team to begin creative design.
Production begins with storyboarding and prototyping. Storyboarding is a first pass at the visual representation of the script. This includes text on screen, layout, imagery and color design. Prototyping is a first pass at putting these elements together to see rough examples of what the final product might look like. After storyboards and prototypes have been approved the team moves on to creating the assets and final artwork that will be put together to complete the project.
Production is an interactive process with lots of opportunities for stakeholders to give feedback and see progress. When a production is completed, a final rendering is sent out for review and user testing. This usually involves a small sample of the target audience using the product and giving us feedback from the learner/user perspective. After all feedback is processed the project is ready for Go Live.
Once all planned tasks for a project are complete, EdTech will produce a project closeout summary that details the project timeline, location of production assets, and any ongoing responsibilities that EdTech may have for the management of the project. In most cases, EdTech will provide you with training so that you can assume responsibility for the project and any data generated. Any ongoing maintenance or consulting agreement between you and EdTech would be negotiated and agreed to as part of the Project Initiation stage.
