How do I adjust notification settings? I’m getting too many email alerts.
Email alerts are adjusted in two places:
- Within Account Settings under Notifications
- Within Folder Properties under Email Options
Because account settings are the master controls, best practice is to define these settings first and then modify folders as needed.
Why can’t I create a new item in my All Files folder?
For security reasons, you can’t create items in your top-level folder.
Why are there so many collaborators in my folders?
You may see a few administrative accounts as collaborators in your folders. This is normal.
Are files that I lock automatically unlocked when I save them?
No. If you lock a file, whether or not they are edited/saved, it must be unlocked manually for others to make changes.
How do I know if a file is locked, and how do I unlock it?
A padlock icon will appear directly to the left of a locked file. The file can be unlocked by right-clicking or from within its More options menu. If a file becomes inaccessible to a collaborator, you may need to unlock it.
What’s the difference between "sharing" a file or folder via a web link, and inviting a collaborator to a folder?
Sharing via a web link grants read-only access for previewing and downloading. Inviting a collaborator to a folder grants the access rights you specify to the collaborators you specify for all items in the folder.
Why are my new files not showing up in search?
It may take up to a few minutes for a newly uploaded file to be indexed for search.
How does Search Files find results?
Box indexes file titles, descriptions, tags and the first 100 words of each file.
What will happen to my “P” (My Documents) drive?
Files created or modified in your P drive in the past 18 months will be synced with “Your Files” folder in Box. The P drive will stay in place and your Box files and P drive files will be synced with each other in real time. Therefore an edit made to a file in Box will be made to that same file on your P drive. (Stanford School of Medicine users do not have a P drive.)
Why can’t I edit documents on my mobile device?
For security reasons, file downloads from Stanford Medicine Box to mobile devices are not permitted.

Where are PHI and PII permitted?
Protected Health Information (PHI) and Personally Identifiable Information (PII) are permitted only in folders marked with a green tag labeled “Safe for PHI & PII”. You may find this presentation helpful.
Is Windows XP supported?
