Munzer Auditorium Reservation Policy

Aligning with university policy, as overseen by the Office of Special Events & Protocol, all events scheduled within the Beckman Center must meet the educational mission of Stanford and also fulfill the university’s academic goals and purpose.

To ensure that we are able to offer the auditorium at minimal cost, we ask that these policies be strictly adhered to:

  • All activities must be consistent with the educational mission of the university, be consistent with the science and research mission of the Beckman Center, and be approved by the School of Medicine (SoM).
  • Any activity, event, or program that is designated to attract a largely non-Stanford audience is subject to additional approval from the SoM.
  • Offices located on campus and operating on behalf of the SoM may use the auditorium.
  • Members of the SoM community cannot make reservations on behalf of a non-Stanford related group with the sole purpose of allowing that group to plan an event and use campus facilities, such as Munzer Auditorium.

 

In addition, all events are required to follow guidelines in place to ensure our collective health and safety; please review the guidelines on the Health Alerts website.

Priority Reservations

The highest priority for scheduling School of Medicine facilities is for events and programs that are educational in nature for the current academic year (August 28, 2023 - August 25, 2024). The scheduling priorities are listed in descending order below:

  • Beckman Center*
    • Research Seminar Series
    • One-Time Research Seminars
    • Symposia
  • School of Medicine and other research facilities*
  • All other University, SUHC, and LPCH Departments*
 

*All requests received will be scheduled according to the priorities listed above. All requests from groups lower on the priority list will be scheduled on a first-come, first-served basis as space is available. No exceptions.

*AY25 Reservations: Priority booking for Research Seminar Series will open June 11, 2024. All other reservation requests will open July 1, 2024 based on the Munzer Auditorium Reservation policy.

Note: For classes, trainings, orientations, workshops, grand rounds, or meetings (faculty, lab, etc.), these functions cannot be reserved more than 30 days before the desired date.

Reservation Requests

Reservation requests will be accepted only via the website. A scheduling coordinator will reply within two business days if the desired date(s) and time(s) are available and if the priority reservation requirements are met as well.

Housekeeping

The auditorium will receive high-touch surface cleaning and disinfection nightly, Monday through Friday, by custodial services. 

Audio-Visual (AV) Technical Support & Accessories

The Beckman Center does not provide technical support.

It is highly recommended that users of the auditorium arrange for departmental-funded technical support with one of the following university suppliers:


SoM IRT AV Support can help with hybrid sessions or any other technical issues that may arise by either submitting a help ticket or if urgent by calling the service desk at 650-725-8000.

The equipment is reliably plug-n-play (PnP).

The Stanford event organizer must also provide any presentation accessories needed, such as laser pointers or slide advancers. There is an assortment of HDMI-compatible computer adapters at the podium. However, it is highly advised that auditorium users bring their own computer adapters as backups.

Note: Wireless mics are not available.

Personal Protective Equipment (PPE)

Please bring any PPE that will be needed prior, during, or after the event.

Food and Beverages Prohibited

Event food and beverages are strictly prohibited in the auditorium as well as in any area of the ground floor of the building. Catering or any other food and beverage distribution should be done outside on the patio or in another designated area. Please contact the Beckman Bistro at (650) 725-8424 to ensure the patio will be available. There are no further catering restrictions.

Condition of the Auditorium

It is the Stanford event organizer’s responsibility to return the auditorium to its original condition after the event. Affixing any decorations, way finders, flyers, advertisements, or any signage to interior/exterior walls or doors is strictly prohibited. Please use easels or other freestanding devices instead. Remember to turn off the projector and mics. Be sure that all items have been picked up by the time you vacate the room. Please be considerate of other groups that may have an event the same day.

The Beckman Center reserves the right to request and charge the hosting department’s PTA for damages done to any walls, doors, carpets, equipment, etc., as a result of a reserved event held at Munzer.

Cancellations

Please submit cancellations to beckmanmunzer@stanford.edu ASAP and NO LATER THAN 48 hours in advance. The auditorium is in high demand and advance notice is appreciated. “No Shows” may result in not being accommodated for future reservations.

The Beckman Center also reserves the right to request and charge the hosting department’s PTA for “No Shows.”

Note: Please be aware that other contracted service providers, such as SoM Facilities or any previously arranged technical support, catering, event planning/management services, etc., may have separate cancellation policies.
