SPRC Facilities - DataSafe Storage

Do you have boxes of archived documents that you want out of your office and in storage? Or do you need to find some boxes already in storage? It's quick and convenient, just send an email with the information below to Garrett Joseph (our contact person for DataSafe storage). While waiting for a response, please fill out the DataSafe transmittal form (download and save it to your computer). Visit the DataSafe web site for more information about the service.

Information needed to send boxes to storage:

  • Date of preferred pick-up (please allow at least three days notice from the date requested).
  • Number of boxes you would like sent to storage.
  • Please note: DataSafe only accepts standard storage boxes.

 

DataSafe requires a bar code label on each box. A transmittal form must be completed for each group of boxes being picked up by DataSafe. Garrett will send you the labels and transmittal forms and will phone DataSafe when you are ready to have your boxes transported. In addition, you should do the following:

  • Create an electronic list of the box contents. Save that list on the SPRC server. This is important because as people leave their jobs, this is the kind of file that will be lost from their hard disk. Plus, we'll need to know what is being stored at DataSafe for billing purposes. There's a new folder on the server called "DataSafe"; each group should have one list which is added to as boxes are sent to DataSafe. Please label your file simply and clearly (e.g. Youth, ASG, Reynolds, Haskell's group, etc.).
  • Put a list of the box contents inside the box.
  • Put the bar code label on one end of the box.
  • Do not write anything else on the box.

 

Information needed to retrieve boxes from storage: 

  • Date of preferred retrieval (please allow at least three days notice from the date requested).
  • Box number (located on the form you completed when the box was initially sent).
