Recall of Emeritus Faculty (Professoriate)


An emeritus or emerita faculty member may be recalled to active service, with or without pay, on either a partial or a full-time appointment for a period of up to one year, subject to renewal. Availability for recall may depend on whether, and when, the faculty member has participated in the Faculty Retirement Incentive Program (FRIP).

Professors emeritus or emerita may be recalled to active duty in any department, regardless of previous departmental affiliation. They may be paid or unpaid, and are generally recalled for a year at a time.



Process: Retirement Without FRIP

Before you get started, and at least four months before the faculty member's intended retirement date:

  1. The faculty member must contact the Stanford Benefits Office (650-736-2985, option #9) to obtain a retirement calculation. Information on retirement and benefits is available on the Stanford Faculty Affairs Faculty Retirement web page.

  2. The faculty member must fill out a Notice of Intent to Retire (which can be found on this page, under When You Decide to Retire >> Notify your Department Chair or Dean) and submit it for the department chair's signature. Please note: The "retirement date" on the form must be the last day of work (not the first day of retirement).

  3. Submit to Lisa Joo in the Office of Academic Affairs the Notice of Intent to Retire with original signatures of the faculty member and the department chair. Copies will not be accepted.

    Do not submit the ntoice by attaching it to a FASA form. Submit the FASA form ONLY after the notice has been submitted to OAA.

  4. Using FASA, the department starts a transaction to terminate the professoriate appointment record in the Provost's Office database. Instructions on how to submit FRIP emeriti recalls appear in the FASA Reference Guide and in the School of Medicine Supplement.

  5. At the appropriate time, the department also initiates a PeopleSoft Workflow transaction to terminate the faculty member.

Process: Retirement & Initial Recall Under FRIP

Faculty who are retiring under the Faculty Retirement Incentive Program must be recalled to active duty by their department. Based on the FRIP program guidelines (found here), the term of the recall will be for either one or two years at 50% FTE, and will be paid 50% by the department and 50% by FRIP.

FRIP Recall Appointment

  1. The recall appointment is initiated using FASA. Instructions on how to submit FRIP emeriti recalls appear in the FASA Reference Guide and in the School of Medicine Supplement.

    The recall dates must start immediately after retirement date on Notice of Intent to Retire), and the percent time of appointment must be 50% FTE.

    Required attachment: Draft Emeritus Faculty Offer Letter. Includes language explaining the pay structure for faculty recalled under FRIP.

  2. Financial review is conducted as a separate process and initiated by submitting to Finance:

    • Draft offer letter (word format)
    • Personnel Action Form (PAF)
      Finance staff will review salary level, funding plan and all other financial terms.
       
  3. Once Academic Affairs and Faculty Compensation have received notice from the Provost's Office that the faculty member's FRIP Agreement and Release has been finalized, the offer letter is reviewed by Academic Affairs and Finance, and a final approved version of the letter is uploaded into FASA prior to approval by Academic Affairs. The offer letter is to be finalized and sent to candidate.. The signed offer letter is to be returned to Finance.

Subsequent Recalls

Apart from the 50% FTE recall period under the Program, emeriti faculty will generally not be eligible to be recalled to active duty. In unusual cases, the Dean may request a special recall appointment to meet a specific programmatic need, provide clinical mentoring, or provide other institutional benefits.

Requests for such exceptions should be directed to Vice Dean Linda Boxer and submitted to Ellen Waxman. Approval for the exception should be received prior to initiating any FASA action. Contact Ellen Waxman to discuss this.

If approved, these recalls must be processed as non-FRIP recalls.


Process: Recall Emeriti Who Did Not Take FRIP

Emeritus or Emerita faculty who retired but did not take advantage of the Faculty Retirement Incentive Program may be recalled for a year at a time at the department's discretion. There are no programmatic limits on what percentage of time they may work or be paid, or how many times they can be recalled.

To recall emeriti who did not take FRIP, the FASA retirement transaction must be complete. Follow these instructions for initial and subsequent recalls.

  1. Recall a retired faculty member using FASA. Instructions on how to submit non-FRIP emeriti recalls appear in the FASA Reference Guide and in the School of Medicine Supplement.

    Required attachment: Draft Emeritus Faculty Offer Letter for a paid recall. For an unpaid recall attach the department chair's memo to the faculty member describing the details of the recall appointment, including start and end dates, percent time of appointment, and expected duties (clinical, teaching, and/or research).

  2. For a paid recall, financial review is conducted as a separate process and initiated by submitting to Finance:

    • Draft offer letter (word format)
    • Personnel Action Form (PAF)
      Finance staff will review salary level, funding plan and all other financial terms.
       
  3. For a paid recall, the offer letter is reviewed by Academic Affairs and Finance, and a final approved version of the letter is uploaded into FASA prior to approval by Academic Affairs. The offer letter is to be finalized and sent to candidate. The signed offer letter is to be returned to Finance.

Process: Change of Percent Time of Recall Appointment (FTE)

  1. Changes to an emeritus/emerita recall appointment are conducted in FASA. Instructions on how to change the percent time of appointment appear in the FASA Reference Guide on page 18.

    Required attachment: Draft Emeritus Faculty Offer Letter - ONLY IF:

    • FTE change of 10% or more from previous recall
    • change in benefits status (for example, going from more than 50% FTE to less than 50%, thus losing benefits eligibility).
       
  2. Financial review is conducted as a separate process and initiated by submitting to Finance:

    • Draft offer letter (word format)
    • Personnel Action Form (PAF)
      Finance staff will review salary level, funding plan and all other financial terms.

  3. The offer letter is reviewed by Academic Affairs and Finance, and a final approved version of the letter is uploaded into FASA prior to approval by Academic Affairs. The offer letter is to be finalized and sent to candidate. The signed offer letter is to be returned to Finance.
