Welcome first-year class to Stanford University School of Medicine. This page will help you coordinate program/event dates, deadlines, training requirements, and any other additional information to be completed in advance.
In late June early July you will be receiving communications from:
- Office of MD Admissions

To do before you arrive:

Submit Transcripts: Submit to the Office of MD Admissions two official copies of transcripts from your college or university reflecting your conferred degree as well as two official copies of transcripts from any other institutions where you took required science courses or were enrolled for one year or longer

Obtain a University ID Number: This is an 8 digit number. You should have received information on how to obtain this ID number from the Office of MD Admissions acceptance letter by calling 650-723-6861.

Create a SUNet ID: Once you have your University ID number, you can create your SUNet ID. The SUNet ID is a 3 to 8 character “username” which, along with your password, proves that you are affiliated with Stanford and are eligible to use its computing infrastructure and most of its computing services. You need to sign up for this. You will need the SUNet ID in order to create a Stanford email account, register for classes and complete certain training. You should have received information about the SUNet ID in your acceptance packet from the Office of MD Admissions.

Create a Stanford University email account: Once you have a SUNet ID, you can create a Stanford email address. Note: Your Stanford email will work only after you are term activated for Autumn Quarter by the Graduate Admissions Office.

Update Your Personal Information in Axess: It is critical that you update your address, telephone number, and email address in Axess, as during your time here many urgent matters will be communicated only via electronic mail; but other items require a current home address and telephone number.

Financial Aid Application: If you filed for financial aid. You should have financial aid information from the Office of Financial Aid.

Vaden Health Center: Health insurance enrollment information will be sent to you in late June by the Office of Student Life. Contact Vaden Health Center with insurance questions. See below for more details.

Housing Application: You should have received the housing brochure in your acceptance packet from the Office of MD Admissions for on-campus and off-campus. More information on Axess. Contact direct questions to Graduate Housing Service 650-725-2810.

Information about SWEAT: You should have received information about SWEAT (Camping Trip) August 18-21, 2012 in the welcome letter from Char Hamada.

Orientation and Matriculation Dates: Orientation is August 22-24, 2012. The Dean's Reception & Welcome Dinner is August 24th. The first day of classes is August 27th.

Fill out the SWEAT (Camping Trip) online response form.
(Response Required: even if you do not plan to attend). -
Vaden Health Center: All students are required to have health insurance. You will be automatically enrolled in Cardinal Care when you register unless you show evidence of other insurance. Cardinal Care is effective September 1st. If you will have a gap in coverage, you must purchase and provide proof of transitional coverage.
Stanford offers an early start to Cardinal Care, coverage beginning August 1st. In order to obtain the early start coverage, you must submit the Early Start Form by July 16th. Click here for form (PDF)

If you do not have internet access and need a paper copy of the Entrance Medical Requirements forms, fax a request to us using our toll-free fax number 866-336-0164 (U.S. only) or 650-723-1600 (international). Be sure to include your name and return fax number.

Confirm white coat details: In late June, you will receive information about white coats from the Office of Student Life.
August Notifications

Sign the Patent and Copyright Agreement on Axess.

Enter Study List in Axess: You will receive separate instructions about registering for classes from Dr. Clarence Braddock in the Office of Medical Education. Axess opens for registration for Autumn Quarter on August 1st, and it is important to register as soon as possible, especially if you will receive financial aid, as it cannot be disbursed if you are not registered for classes. If you encounter any problems, please contact the MD Registrar (not the University Registrar).

Complete Bloodborne Pathogens Training (annual requirement) in Axess. You will receive instructions from the Office of Student Life.

Complete General Safety and Emergency Preparedness Training in Axess. You will receive instructions from the Office of Student Life.

Complete Medical Student HIPAA Hospital Training (annual requirement): Computer Based Training through HealthStream. You will receive instructions from the Office of Student Life.
- Complete Medical Student HIPAA University Training (annual requirement): Computer Based Training through Lawroom. You will receive instructions from Lawroom.

Complete Hospital Acquired Infections Training (annual requirement): Computer Based Training through HealthStream. You will receive instructions from the Office of Student Life.

Complete the web-based Matriculating Student Questionnaire: This is done through the AAMC and is required of all medical students in the U.S.
Can be done before or after you arrive

Obtain a Stanford Photo ID Card: upload your photo online using the Stanford ID Photo Submission site https://acesapp.stanford.edu/sc/photo/submission. Medical students can pick up their Stanford ID when they check in to their residence upon arrival. If you have arranged with your residence to arrive early, the residence may need to provide you with a temporary access card.
During Orientation week

Take Photo for Hospital ID Badge: This is different than the Stanford ID Card. The Hospital ID Badge allows you access to all rooms and buildings you will need to access as a medical student, including the Li Ka Shing Center (LKSC) 4th floor student lounge/study rooms (card key access is required at all times), the Anatomy locker room, and the 24-Hour room in Fleischmann Labs (Alway Building). Please go to Hospital Security (downstairs in the Hospital). Forms have been signed for each of you, and the Hospital Security Photo ID office has them. Just tell them your name and that you are a medical student and that Zera Murphy (Office of Student Life) has provided your information. You must take some form of government-issued (e.g. drivers license, passport) photo id with you. It takes only a few minutes, so make sure you do this as soon as you arrive. The hours are 7:30 a.m. – 4:30 p.m., Monday through Friday. We recommend youdo this on Tuesday after the SWEAT trip.

Complete Financial Aid Entrance Interview: Details will be in the Orientation schedule. This takes place during orientation and is mandatory for all students receiving financial aid.
Later in the Fall Quarter

Sign up for FIT Testing: This test will determine the size of mask you will wear when exposed to patients with Tuberculosis. You will be advised via e-mail by the Office of Student Life when the signup sheets are available and their location. The test takes 15 minutes.

If needed, obtain a parking permit from Parking and Transportation at 340 Bonair Siding (off Campus Drive across from the gas station, near the intersection of Campus Drive and Serra Street).
If needed (and highly recommended), register your bicycle: There will be forms available during Orientation, or you can go to Parking & Transportation. -
October 7: Last day to clear any additional admission requirements (see your "To Do" list in Axess) as specified by Graduate Admissions, Office of the University Registrar.
