SOM Department Emergency Plan Instructions

Department Emergency Plans are an essential component of the School of Medicine's Emergency Response and Recovery Programs. Below you will find a section by section list with instructions and links to documents that can be printed to assemble your Emergency Plan. If there are questions about any of these steps, please contact the School of Medicine's Health and Safety Programs Office at 723-0110.

Dept Emergency Info
- Using the Department Planning web interface tab - select your department from the pull down menu and type in your password.
- Click on “Department Information Summary” and review the information – if correct use your browser to print out the page and insert it in the plan.
- If it is not correct you can select “notify us of changes” and enter your changes and send it to us. We will make the changes in the database and notify you when the page is ready to print.
Dept Specific Info
- Department can insert existing phone trees or rosters. If you would like you can use one of these templates:
Building Information
- Using the Department Planning web interface tab - select your department from the pull down menu and type in your password.
- Click on “Building Information Summary” and review the information for each of your buildings – if correct use your browser to print out each of the building pages and insert them in the plan.
- If the information is not correct you can select “notify us of changes” and enter your changes and send it to us. We will make the changes in the database and notify you when the page is ready to print.
Building Floor Plans - Department inserts floorplans for buildings that they occupy.
Admin Area Info
- Using the Department Planning web interface tab - select your department from the pull down menu and type in your password.
- Click on “Admin Area Business Continuity Information” to add your departments critical administrative equipment (servers, laptops, copiers, etc.) and data preservation procedures
- Use the printer friendly page for a clean printout for this section.
- Department can utilize Sunflower reports and printouts for documenting their critical equipment if they would prefer.

PI Research Preservation
- Using the Department Planning web interface tab - select your department from the pull down menu and type in your password.
- Click on “Principal Investigator Research Preservation Information.”
- Select the PI and you will see a list of their research spaces.
- Select the > next to the space to enter critical equipment for that space.
- Select the Freezer Information tab to create and manage a freezer listing for the PI.
- Select the Data and Specimen Preservation tab to type in any procedures and off-site storage locations.
- Use the printer friendly page for a clean printout of equipment and freezer lists.
