SMP Rental Car Fleet

Two SMP cars are available under the following policy. 

To Reserve a Vehicle:

1. Print out the below policy. Please read and sign the policy.

2. Deliver the signed policy along with a copy of your drivers licence and an emergency contact to the Operations Coordinator.

3. Both of the SMP vehicle schedules are located in Zimbra resources under SMP VEH I-AB and SMP VEH 110.

4. Schedule the approapriate vehicle for the time needed.  Include a cell number or other number in which you can be reached at.  It is manditory that such information is included in case of emergency or to resolve scheduling issues.

 

Stanford Menlo Park Rental Car Policy

Rental car use is only appropriate and allowable:

  1. For SOM business (not for personal use)
    1. Outside of regularly scheduled SOM-SMP shuttle trips, or
    2. To transport items too large to carry on the shuttle, or
    3. For SOM business meetings not located on campus or at SMP (e.g., Palo Alto VA Hospital), or
    4. Genuine work-related emergency that requires your immediate presence at the Stanford campus.
  2. If you have on file with SMP’s operations coordinator the following:
    1. Your current CA driver’s license
    2. Emergency contact information
    3. Signed policy

Scheduling Use of Car(s)

Please sign up in advance for rental car use.  We cannot guarantee that a car will be available without prior sign up.  If there is not a scheduled user, the car or cars will be available on a first-come, first-served basis. The vehicles are available for half day bookings during business hours.

Maintenance and Upkeep

  1. SMP’s operations coordinator is responsible for coordinating service with the rental car agency
  2. If the gas is below ¼ tank, you must refill it before returning the car and submit receipt to SMP’s operations coordinator for reimbursement.
  3. You are responsible for alerting SMP’s operations coordinator of the need for service (low fuel, low air pressure in tires, engine light, etc.)
  4. You are responsible for calling road service and SMP’s operations coordinator in the event of road side emergency (flat tire, out of gas, collision, etc.)

 Housekeeping

Your signature below confirms that you understand and will follow the following maintenance and housekeeping rules:

  1. No smoking in the car
  2. You are responsible for removing all of your trash and personal items from the car
  3. You must return the car on time so the next user will not be delayed.  If an emergency prevents this, you must contact the Operations Coordinator.
