Access
Building Access Cards: The main entrances of the Stanford-occupied buildings at SMP (Lobby of the I-Building and front door of Buidling 110) will be open during established business hours and accessible outside of those hours to SMP-based staff by the same security card reader system used on the SoM campus. Other entrances to the buildings will be accessible by the card reader 24/7. Since SMP is on the same system, staff will use the same access card for both SMP and any buildings on the campus that you need to access. All employees will need to get an SUMC photo ID / access card, as we will be requiring staff to wear their ID in the building. The changes to access will be accomplished through the system, but you will need to go to the SUMC ID office to get your new SUMC ID/access card.
Staff moving to SMP should be aware of the fact that Grant, Alway, Lane, and Edwards will have security card readers installed and they will be on the same open/closed sequence as other SoM buildings (unlocked 7am-5:30pm, card access 5:30pm-7am). If you need access to these buildings during the card access hours, please be certain to request access when.
Housekeeping
Housekeeping is supplied by SRI and they are scheduled to come through on Monday, Wednesday and Friday evenings. Please keep common areas clean between times!
Conference Rooms

You can reserve SMP conference rooms using Zimbra. These instructions are for use in the Web version of the Zimbra calender. Log into Zimbra in a new window now.
- Create your proposed event on your desired Zimbra calendar, i.e. "Calendar," "Confidential," or a specific Zimbra resource calendar you subscribe to
- Drag the time period for your new event and a dialog pops up
- Enter at least a Subject
- You can type out the location room as information (this doesn't reserve the room yet)
- Click OK to set the initial event
- Double-click the event to view it's details
- Click the "Find Locations" tab
- Type "Ravenswood" in the Name field, then click "Search"
- Check the status column to ensure the room is free the time you want it
- Select a room so it highlights
- Click the Select button
- Click back to the "Appointement Details" tab
- You should now see the room listed under "Resoures"
- Zimbra sends a confirmation mail from the room's calendar
- The room is reserved
- Finish your event by inviting people, and you can include additional details if desired
You can subscribe to a room's calendar in Zimbra, to see it's schedule. These instructions are for use in the Web version of the Zimbra calender. Log into Zimbra in a new window now.
- Click on "Find-a-Resource in the left side link panel
- Type "Ravenswood" into the pop-up form and click "OK"
- A list of rooms at 301 Ravenswood is returned
- Use the check boxes to select the room(s) whos calendar(s) you want to subscribe to
- Click OK to subscribe to the selected calendars
- To remove subscription, right-click (Win) or ctrl-click (Mac) on the calendar's name in the left link panel, and select "Delete"
Please be careful not to overlap or change anyone else's reservation; if a conflict exists, contact the person who reserved the room or the Operations Coordinator to help resolve it. However, failing more compelling reasons, the assignment is on a first-come, first-served basis. Please be sure to cancel a reservation you don't need so others can use the room.
The capacity, installed technology, and locations of the rooms are as follows. Those room numbers preceded by an "I" are in the International Building, "AB" are in the AB Wing, and 110 are in the 110 Building.

Supplies
Common supplies are purchased through the SMP account and made available in the supply/copy rooms. Other supplies will need to be purchased on your individual department accounts. Contact the Operations Coordinator with questions.
Copiers
Faxing, Scanning, Copying and Printing: We have purchased Multi-Function Devices (MFDs) which support printing, scanning, copying and faxing. The scanning technology available in these devices is quite impressive, allowing people to scan to PDF, email documents, and enter information about the scanned document directly at the device. There is a high-speed black and white copier located in the copy room between RMG and Finance in the I-building, and color copiers in the other copy rooms; all are networked.
We're evaluating several products including centralized document management and scanning middle ware products which will allow us to move more materials online. While all these technologies won't be in place at day one, we hope to align our long term plan with the initial purchases.
Kitchen Inventory & Policies
Kitchen supplies are ordered from the central SMP account. Please let the Operations Coordinator know if your kitchen is running short on any supplies. Rather than bottled water, we have installed water filtering systems in the kitchens for drinking water.
We ordered the more expensive, biodegradable utensils, cups and dishes, so please use them responsibly and sparingly. Cups, especially, are expensive; resident staff who drink coffee or tea should have reusable mugs.
You are responsible for keeping the kitchen clean! Please clean up after yourself, if you use the last of anything, replace it or contact the Operations Coordinator.
Mail Services
ID Mail is delivered to supply rooms in the SMP buildings. Each group has been assigned a new Mail Code to use for this purpose.
Shipping and Receiving
The Operations Coordinator receives packages mail sent to the I-Building and AB Wing. The receptionist at the 110 building will receive packages and mail for that building.
Vending/ATM Machines
Vending and ATM machines are located in the mail room located off the lobby of the I-building.
Building Management
The Operations Coordinator for the three SMP buildings reports to the Associate Director of Facilities Planning and Management (Birgit Walker). The Operations Coordinator has a desk in the lobby of the I-Building. The job description for this position is here.
