The Move
The move will take place over 3 consecutive weekends, starting on November 29th. Although which groups will move when is not final until construction is complete, we are on target to move the 110 building on the first weekend, the AB Wing on the second (Dec. 7th), and the International Building on the 3rd (Dec 14th). Lunch will be catered in on the Monday of each move weekend.
This is an excellent opportunity to purge your office of old files, useless knick-knacks, and other unnecessary junk. I know many of you took advantage of "Campus Cleanup Day" on November 2nd to get a start on this process, but don't quit now! Please see "What to Bring" for some guidelines on what should come to SMP and what should stay behind -- or in the trash!
Also, be sure to consult "Record Retention" for University and governmental regulations on what you must keep.
Boxes have already been delivered to each office moving; if you don't know where yours are located, please check with your Director orf the Move coordinator for your office.
Things to do when you arrive at SMP on Monday morning:
- Wear your ID card (using the lovely new lanyard from your welcome bag)
- Get organized
- Unpack boxes
- Update your WhoIs directory entry AND your emergency contact information on StanfordYou
- Access the Move website at http://med.stanford.edu/smp/ and let Julia know if anything is missing that you need to know
- Test your phone and familiarize yourself with its features
- Get up on voice mail
- Test your computing equipment; don’t panic if something doesn’t work, just inform the move coordinator in your group and it will be addressed
- Test your access card at all entrances to make sure it is working properly. If not, please contact the SMP coordinator
- Print to all the printers on your network, and figure out where they are and their different features, so you know when to use which one
- Sign up for a gym tour if interested (see clipboard at reception desk)
- Fill out the gym application if you want to join (give to Operations Coordinator)
- Attend one of two orientation sessions that will help you get oriented to the building and services: 11 am and 1:30 pm in the Main conference room.
- Take the Ergonomics web-based training if you haven’t already (Register on-line at STARS via Axess Portal (EHS-3400)). If you feel you need more assistance after completing the web-based session, sign up for a personal workstation assessment (see clipboard at reception desk)
- Pick up your lunch in Conference room
- Add ideas to “suggestion box” in reception area
- Check for any repairs needed (to furniture, etc.) and notify the Operations Coordinator
- Walk around and find all the restrooms
- Take a round trip ride on the shuttle
- Help others unpack
- Take a walk around, smile, and greet people; figure out where everyone is sitting and meet your new neighbors
- Hang out for a few minutes in some of the open spaces
- Check out the kitchen!
- Place empty boxes……where?
- Take a walk to the other building through the new gate (code for gate: 1234)
- Inform your customers that you are up and running; invite them to come visit
- Take a walk around the neighborhood and discover Menlo Park’s great downtown
- Think up some great names for the conference rooms and tell Julia (tussing1@stanford.edu)
