2019 Winter Closure Information

In accordance with the School of Medicine's decision to close operations during the winter break, the Research Management Group (RMG) offices will be closed from Dec 23, 2019 – Jan 5, 2020.  RMG staff will not be available during this period.  The office will re-open for business on Monday, January 6, 2020.

To ensure timely submission of sponsored project and fellowship proposals in the week prior to and the week following the Winter Closure, please note the following internal deadlines:

We recommend notifying RMG 4-6 weeks in advance of the sponsor deadline.

To ensure timely budget development and contract negotiation for industry-funded clinical trials, please note the following:

Clinical Trial contracts that must be completed before December 31, 2019:

  1. The contract must be fully executed by all parties Friday, December 6, 2019 in order to allow sufficient time to issue an Award Acceptance Notification (AAN) and establish the PTA and 98-accounts.  ORA said that to issue an NOA by Dec 20 they must have “all necessary information” in SeRA from the department by Friday, December 13, 2018 @ 5 PM.
  2. If you are not already working with a CT RPM or CCTO Financial Analyst on a final budget for your industry-funded study, it will be extremely unlikely that we will be able to complete the study budget and contract before the December 6 deadline.
  3. Contact your CT RPM or CCTO Financial Analyst if you have questions about processing of clinical trials.

In the event of an emergency during the closure, please leave a voicemail message at 650-725-0661.  Be sure to leave a call-back number.  Voicemail will be monitored and your call will be returned.

Proposal Intake Form *Update*

In September we announced a new approach for the intake of proposal requests as part of RMG’s process improvement efforts.   We piloted the Proposal Intake Form (PIF) with 11 departments from Dec 2017 – March 2018.  The  pilot allowed us to test the new process and make adjustments where needed to make this process seemless.  On May 1, 2018 we implemented the PIF across an additional 36 units.  The transition is underway and we are now looking to implement the PIF across the remaining units for a full PIF roll-out across the School of Medicine.  We will review efforts to date, provide a brief demo of the PIF, and answer all your questions.
