Support for central university systems

IRT supports the School of Medicine’s usage of the central University systems through implementation planning and testing, workshops, user groups, troubleshooting, and advocacy.

Oracle Financials
IRT Administrative Systems & Technology is actively engaged in helping to support the school's use of the Oracle Financials suite of products.  We participate in school-based and University-wide focus groups, advocacy groups and testing efforts.  We also work with our SoM users to expedite answers to problems they are having difficulty getting solved through normal channels.

ISpace and FAMIS Space Management
Staff from IRT and Facilities Planning and Management are working jointly with University Facilities Operations and the Office of Research Administration to replace two legacy space management systems, SUFED and Med-SUFED, with a single new system. The legacy systems track ownership and usage of buildings and rooms and satisfy two purposes: 1) the calculation of indirect cost rates, and 2) the management of space by schools and departments. The new system is a commercial off-the-shelf package known as FAMIS Space Management. Facilities Operations already makes use of another module in the FAMIS suite, FAMIS Maintenance Management; the addition of Space Management will provide an opportunity for systems integration in the facilities area. The project team is developing a custom web-based front-end, “iSpace”, for data entry and reporting by departmental Space Coordinators. The final component of this new functionality will be a suite of parameter-driven reports in the Brio ReportMart environment.

PeopleSoft HR, Payroll and Faculty Events; Kronos Hourly and Leave
IRT provides analytical support on an as-needed basis for business process or system enhancements to the PeopleSoft and Kronos applications. Currently, IRT is engaged in several efforts having to do with using PeopleSoft to track faculty records, including:

  • MFASS Replacement - Given the demise of the Forsythe mainframe computer, IRT was faced with replacing its faculty appointment and salary-setting system (MFASS). IRT’s answer to this challenge is to commission a Med School reporting database that contains our MFASS history and is hosted by ITSS in such a way as to allow links with the PeopleSoft reporting database. IRT staff is developing a series of complex Brio queries that will join data from these two environments of old and new data to provide seamless historical reporting of faculty appointments and salary.
  • Faculty Billet Tracking - A study is currently underway to see whether the school can track its limited number of faculty billets using the PeopleSoft system or must develop its own shadow system for doing so.
  • Adjunct Clinical Faculty - A study is currently underway to see whether and how it might be possible to track the school’s unpaid ACF population in PeopleSoft. SoM Academic Affairs and IRT are working on this issue in conjunction with the Office of the Provost, which is looking into the larger question of how to record unpaid faculty in University systems.

PeopleSoft Students (aka Axess), Graduate Financial Support (GFS)
IRT provides analytical support on an as-needed basis for business process or system enhancements to the PeopleSoft Students and GFS systems. Currently, IRT supports an ongoing download from PeopleSoft Students into the Biosciences Admissions System, a local FileMaker Pro database that tracks internal status of an applicant while undergoing scrutiny for admissions into one of 12 Biosciences departments.
