Curriculum Management  

Annual Course Catalog Review

Each spring and summer all course offerings at Stanford University must be reviewed by departments and programs to ensure the PeopleSoft course catalog is accurate and prepared to load the following year's class offerings. Course data are updated for offerings that will continue to be taught, new courses are authorized and included as new course catalog records, and courses that will no longer be offered are deactivated.

Most processes for current course offerings are executed directly in the PeopleSoft Course Catalog by Department Course Administrators using the appropriate Webform.

Updating Existing Courses

  1. Run a Course Catalog Data Report in BI Publisher at bi.stanford.edu.
  2. Distribute course data to each faculty member and the department chair to update and/or confirm course offerings
  3. Enter changes to existing courses using the Peoplesoft Add/Update Course Catalog Webform under the Curriculum Management tab
    • Click on Curriculum Management
    • Click on Course and Class Webforms
    • Click on Add/Update Course Catalog
  4. To make changes to an existing course enter subject code and course number, click on “search,” change the effective date to 08/01 of the academic year you are working on (i.e. for the 2013-2014 AY, enter 08/01/2013), make the changes in the relevant data fields, click on Send for Approval
  5. To deactivate an existing course enter subject code and course number, click on “search,” change the effective date to 08/31 of the academic year you are working on, change “active” to “inactive” (a drop down), click on Send for Approval

Adding New Courses

  1. Provide faculty member appropriate New Course Submission Form and instructions
  2. Collect the completed form with required signatures and enter the data for the proposed course using the Peoplesoft Add/Update Course Catalog Webform under the Curriculum Management tab
    • Click on Curriculum Management
    • Click on Course and Class Webforms
    • Click on Add/Update Course Catalog
    • Click on Add a New Value
    • Click on Add
  3. Enter effective date 08/01 of academic year you are working on, enter information in the appropriate data fields on all three screens, click on Send for Approval
  4. Submit the hard-copy SoM New Course Submission Form with signatures to the SoM Curriculum Administrator for review and the record

Adding New Cross-listings

  1. Provide faculty member New Cross-listed Course Submission Form and Cross-listing Policy
  2. Collect the completed form with required signatures and confirm that the requested cross-listing meets university cross-listing criteria
  3. Enter the data for the proposed cross-listing on the Peoplesoft Add/Update Course Catalog Webform on the Offerings page by clicking on + to add a row and filling in the blank data fields
  4. Submit the hard-copy New Cross-listed Course Submission Form with signatures to the SoM Curriculum Administrator for review and the record
