For Supervisors - Hiring New Employees

Below is a description of the different levels of staffing. Once needs are defined, download and complete the required documents (in MS Word). E-mail requests to hire regular employees to the HR Manager and requests for hiring temp/casual/student employees to .

Please allow up to 2 weeks for processing, don't leave it to the last minute!

Note: Only "Regular" employees receive benefits (Stanford students receive student benefits). 

You have selected a new employee candidate. Here's what to do next...

Once you have selected a candidate and before you can make a job offer, you must:

  1. Assure that all applicants have applied for the position through the Stanford Jobs web site.
  2. Provide Elsie with the resume and completed SU application form for the selected candidate.
  3. Provide Elsie with the completed search folder. This includes the following:
    a) Search summary worksheet.
    b) Provide a briefly written description of the top candidate's qualifications and reason for selecting him/her in preference to the other interviewed candidates.
    c) Resumes from all applicants, completed SU employment application forms for interviewed candidates, and notes taken when checking candidate references. University policy requires us to maintain search information for three years, and this is filed in the personnel office.
  4. Complete New Hire Information Form.

Only after this process is completed can Elsie provide you with an approved salary to enable you to make the job offer to your preferred candidate. Please feel free to call Elsie at 723-7849 if you have questions or would like to discuss special recruitment issues.

IN ADDITION, you MUST:

  1. Advise Elsie via email if the new employee will need building access to 1070 Arastradero Road or MSOB.
  2. Coordinate with Jeff Melton / Robert Casuga regarding computer needs for the new employee.
  3. Coordinate with Garrett Joseph regarding key and telephone needs for the new employee. Confirm the employee’s location (building, room number).
  4. Provide a signed Employee Work Schedule to Elsie Wang for Axess Time Card processing. This form has also been provided to the new employee in their new employee package.
