Who are Consulting Faculty?

Notes on Appointing and Reappointing

Requests must be submitted to the Office of Academic Affairs at least one month before the desired start date, or two months before the start date if a J-1 visa is needed.

New! - You do not need to submit a copy of the SU18-A. The candidate must still sign it, however.

Appointment Step by Step Process

  1.  Submit to the Office of Academic Affairs:
    • Visiting/Consulting Appointment without Salary: Checklist doc (also displayed below)
    • Transmittal Memo from Department Chair to the Vice Dean, including:
      • Programmatic need for this candidate
      • Appointment title and dates of appointment requested
      • Expertise/qualifications of candidate
    • Recommendation for Appointment Form (“Green Form”) doc

      • Signed by Department Chair
      • Includes beginning and end date of appointment and rank requested
      • Includes candidate’s current academic institution, title and appointment term
    • Curriculum Vitae (CV) of candidate
    • Three letters of evaluation, one from a Stanford member of the Professoriate (others may be from faculty inside or outside Stanford)
    • Letter of Invitation doc (New! Visiting/Consulting Faculty template)
    • J-1 Visa Documentation (COPY) (if needed) – request this through workflow on http://axess.stanford.edu website.
  2. OAA staff reviews recommendation and edits letter of invitation, if needed.
  3. OAA staff notifies the Department of outcome by email.  If successful:
  4. If a J-1 visa has been requested, OAA staff approves visa request through workflow (or returns it to department for revision if needed).
  5. OAA staff issues appointment letter from Senior Associate Dean for Academic Affairs to candidate.
  6. Department may sponsor Consulting Faculty for a SUNet ID; there is a free level of service which will allow them to obtain a courtesy card and other privileges. 
  7. Candidate must fill out the SU-18A at the Office of Technology and Licensing portal.

                ___ 6     Evidence of leave from the candidate’s home institution for dates requested
                               (Visiting only)
                ___ 7     J-1 Visa Documentation (DS-2019) (COPY) if applicable

Reappointments

      • Also includes dates of previous term
      • Continuing programmatic need for this candidate
    • Recommendation for Appointment Form (“Green Form”) doc

      • Indicate beginning and end date of appointment and rank requested
      • Indicate candidate’s current academic institution, title and appointment term
    • Letter of Invitation doc - required for all reappointments
    • J-1 Visa Documentation (COPY) – (if needed) request extension to J-1 visa through workflow on http://axess.stanford.edu website.
  2. OAA staff reviews recommendation.
  3. OAA staff notifies the Department of outcome by email.  If successful:
  4. If a J-1 visa extension has been requested, OAA staff approves visa request through workflow (or returns it to department for revision if needed).
  5. OAA staff issues reappointment letter from Senior Associate Dean for Academic Affairs to candidate.
